Ensuring Complete and Compliant Data Erasure for Secure IT Asset Disposition

1. Initial Client Consultation and Assessment

Understand the client’s data destruction needs, type of data storage devices, and any specific compliance requirements (e.g., HIPAA, GDPR).

  • Steps:

    • Schedule a meeting to discuss needs.

    • Determine the types of devices (e.g., hard drives, SSDs, mobile devices).

    • Identify the desired method of destruction (data wiping, degaussing, shredding).

    • Provide an overview of IT Recyclers’ data destruction services, certifications, and standards (i-SIGMA).

2. Collection and Chain of Custody Documentation

Securely collect devices and maintain a documented chain of custody.

    • Arrange secure transport for device collection or guide the client on how to ship securely.

    • Assign a unique tracking number for each device batch.

    • Document each device with serial numbers and ownership details.

3. Verification and Sorting

4. Data Destruction Methods

    • Data Wiping: Use KillDisk software for data wiping, ensuring each drive is wiped following a chosen level of data overwrite (e.g., one-pass, three-pass, or DoD 5220.22-M).

    • Physical Destruction: For devices requiring physical destruction, use equipment such as shredders or degaussers.

    • Verification: Conduct a post-wipe verification and generate a report confirming the destruction status of each device.

5. Certificate of Data Destruction

 

Provide proof of data destruction to meet legal and client requirements.

    • Generate a Certificate of Data Destruction for each device or batch.

    • Include key details: device type, serial number, destruction method, date, and responsible technician.

    • Obtain approval and client acknowledgment for recordkeeping.

6. Device Recycling or Disposal

Properly dispose of destroyed data devices.

​

  • Steps:

    • Determine if the devices can be recycled or need disposal.

    • For recyclable components, transfer them to IT Recyclers’ refurbishment or recycling departments.

    • For non-recyclable materials, ensure compliant e-waste disposal.

7. Audit and Compliance Records

Maintain documentation for audits and certifications (i-SIGMA).
